Wedding Coordination

Starting at $1,200

A Wedding Coordinator is responsible for making sure all the moving pieces of your wedding come together and your day runs smoothly.

You have spent months planning your wedding. When the day finally arrives, you shouldn't be watching the clock, answering vendor questions, organizing your wedding party, or worrying about what happens next.

That's my job.

Before Your Wedding

Wedding coordination begins before the actual wedding day. There is a lot of behind-the-scenes work that goes into making sure everyone is prepared.

Your coordination service includes:

  • Meeting with you to review your wedding plans and details

  • Creating a detailed wedding-day timeline

  • Communicating with your vendors before the wedding

  • Confirming vendor arrival and setup times

  • Reviewing ceremony and reception logistics

  • Organizing the ceremony processional and recessional

  • Reviewing family and wedding-party seating

  • Coordinating important reception events and timing

  • Sharing the finalized timeline with vendors and appropriate wedding-party members

  • Identifying potential scheduling or logistical concerns before the wedding

  • Answering last-minute coordination questions as your wedding approaches

Wedding Rehearsal

I will attend and coordinate your wedding rehearsal so everyone knows exactly what to expect.

We will review:

  • Processional order

  • Where everyone stands or sits

  • Walking pace and spacing

  • Who escorts whom

  • Ceremony cues

  • Ring and bouquet logistics

  • Recessional order

Your Wedding Day

Wedding-day coordination typically begins around 8:00 AM and continues through approximately 9:00 PM, providing up to 13 hours of on-site coordination.

Throughout the day, I will:

  • Coordinate vendor arrivals

  • Serve as a primary point of contact for your vendors

  • Communicate with the venue, DJ, photographer, videographer, caterer, florist, officiant, and other vendors

  • Keep your wedding party and important family members informed

  • Keep the wedding day running according to the timeline

  • Line up and cue the ceremony processional

  • Coordinate ceremony timing

  • Manage transitions from ceremony to cocktail hour and reception

  • Coordinate reception events with the DJ/MC, photographer, caterer, and venue

  • Give advance notice before important moments

  • Handle questions and unexpected situations behind the scenes

  • Make adjustments when necessary without unnecessarily involving the couple

  • Help make sure you and your family can enjoy the celebration instead of managing it

Wedding Coordination Pricing

Wedding size is only one consideration. The number of vendors, locations, wedding-party members, logistics, length of coverage, and overall complexity can also affect pricing.

Wedding Size Coordination Investment

Up to 50 guests: Starting at $600

51–100 guests $1,200

150 guests $1,750–$2,000

151–200+ guests: Starting at $2,000

Additional coordination staff, multiple venues, extended hours, extensive travel, or unusually complex logistics may require an additional fee.

Wedding decorating is not included in Wedding Coordination.

Wedding Decorating & Styling

Wedding Decorating is a completely separate service from Wedding Coordination.

A Wedding Decorator focuses on the appearance, styling, setup, and visual details of your ceremony and reception.

This service is for couples who don't want themselves, their families, or their wedding party spending the morning of the wedding setting tables, arranging centerpieces, hanging décor, placing candles, or decorating the ceremony space.

You should be getting ready and enjoying your day—not decorating your venue.

Decorating May Include

Depending on your wedding design and package, decorating services may include:

  • Reception table styling

  • Centerpiece placement

  • Linens and table décor-the client takes care of ironing the linens

  • Candles and glassware

  • Sweetheart table styling

  • Cake and dessert table styling

  • Welcome area

  • Gift and card table

  • Memory table

  • Signage placement

  • Ceremony aisle décor

  • Arbor or arch decorating

  • Floral and greenery placement

  • Cocktail-hour décor

  • Decorative installations

  • Styling other special areas throughout the venue

  • Décor teardown when contracted

Wedding Decorating Pricing

Because every wedding design is different, decorating is priced according to the number of tables and spaces, amount of décor, setup time, complexity, installations, teardown requirements, and number of decorators needed.

Wedding Size Decorating & Styling Labor

Up to 50 guests $500–$750

51–100 guests $750–$1,250

101–150 guests $1,000–$1,750

151–200+ guests $1,500–$2,500

Please Note

These prices represent decorating and styling labor.

Décor items, rentals, linens, candles, glassware, florals, faux florals, specialty pieces, delivery, extensive installations, additional decorating staff, and teardown may carry additional costs.

A personalized decorating quote will be provided after discussing your venue, guest count, number of tables, design vision, and the amount of setup required.

The Difference Is Simple

A Wedding Coordinator manages your wedding.

The coordinator manages the timeline, vendors, wedding party, ceremony, reception flow, and unexpected situations throughout the day.

A Wedding Decorator styles your wedding.

The decorator sets up and styles the physical elements that create the look and atmosphere of your ceremony and reception.

They are two different jobs and two separate services.

Beautiful Promises is happy to provide either service based on what you need for your wedding.
